The Proposed HygieIce Method

A Manufacturer-Specific, Documented Approach to Commercial Ice Machine Cleaning & Sanitation

HygieIce is currently researching the feasibility of a specialized commercial ice machine cleaning and sanitation service for businesses throughout the Treasure Valley.

The Proposed HygieIce Method is based on a simple principle: the cleaning and sanitation procedure should be built around the specific equipment being serviced—not around a generic, one-size-fits-all cleaning process.

Because commercial ice machines vary by manufacturer and model, the proposed method would use manufacturer-specific procedures to develop an equipment-specific cleaning and sanitation plan.

The following five-step process is a proposed service model, subject to further research, technical training, and evaluation before implementation.

The Proposed HygieIce Method at a Glance
1. Equipment Identification
2. Manufacturer Procedures Research
3. Cleaning and Sanitation Plan Development
4. Cleaning and Sanitizing According to the Plan
5. Service Documentation and History

1. Equipment Identification

The proposed process would begin by identifying the manufacturer and model of your commercial ice machine, ice storage bin, and other applicable equipment.

Equipment identification could include:

  • Manufacturer

  • Model number

  • Ice machine type

  • Ice storage bin or dispenser

  • Applicable equipment configuration

  • Other equipment-specific information needed for service planning

This establishes exactly what equipment is being serviced before the cleaning and sanitation procedure is developed.

HygieIce Method Step 1 - Identify Equipment

2. Manufacturer Procedures Research

HygieIce would review the manufacturer's applicable cleaning and sanitizing procedures for your specific equipment.

Depending upon the manufacturer and model, this could include:

  • Applicable disassembly procedures
  • Components requiring cleaning
  • Components and food-contact surfaces requiring sanitation
  • Manufacturer-specified or recommended cleaning and sanitizing products
  • Applicable chemical concentrations or specifications
  • Manufacturer-prescribed cleaning and sanitizing procedures

This manufacturer-specific approach is a central part of the Proposed HygieIce Method. Rather than applying one generic cleaning and sanitation procedure to every commercial ice machine, the proposed service would be based on the applicable manufacturer's procedures for the specific equipment being serviced.

3. Cleaning and Sanitation Plan Development

HygieIce Method Step 3 - Develop Service Plan

Using the manufacturer’s procedures as the foundation, HygieIce would develop a service plan tailored to your specific ice machine and business needs.

Your proposed HygieIce Service Plan could include:

  • Cleaning and sanitizing procedures specific to your equipment

  • Components to be removed and cleaned

  • Food-contact surfaces requiring sanitation

  • Manufacturer-specified cleaning and sanitizing products

  • Recommended service frequency

  • Documentation requirements

The service plan would provide a consistent framework for each visit while remaining specific to the equipment being serviced. This would help ensure that each cleaning and sanitizing service is performed thoroughly, consistently, and in accordance with the applicable manufacturer’s procedures.

4. Cleaning and Sanitizing According to the Plan

HygieIce Method Step 4 - Clean and Sanitize

HygieIce would perform the cleaning and sanitizing service according to the equipment-specific service plan developed for your ice machine.

The proposed cleaning and sanitizing service could include:

  • Disassembly of applicable removable components

  • Cleaning of components and interior surfaces

  • Removal of scale, slime, and other buildup

  • Sanitizing food-contact surfaces and applicable components

  • Use of manufacturer-specified or recommended products

  • Reassembly and return of the machine to service

Following the service plan would help provide a thorough and consistent cleaning and sanitizing process while respecting the manufacturer’s procedures for the specific equipment being serviced

5. Service Documentation and History

After each service, HygieIce would document the work performed and maintain a service history for your ice machine.

Your HygieIce service documentation could include:

  • Date the service was performed

  • Equipment serviced

  • Cleaning and sanitizing procedures completed

  • Before-and-after photos

  • Observations or conditions noted during service

  • Recommended follow-up or next service date

Maintaining a documented service history would give the business a clear record of when the ice machine was serviced, what work was performed, and any conditions or recommendations noted during the visit. This record could also help support ongoing equipment care and future service planning.

The HygieIce
Cleaned & Sanitized
Program

Businesses receiving service through the Proposed HygieIce Method could participate in the HygieIce Cleaned & Sanitized Program. The program is designed to connect the cleaning and sanitation service performed on the equipment with an ongoing service record for the business and a simple way for the business to communicate its participation to customers.

Importantly, “Cleaned & Sanitized” refers to the documented service performed on the commercial ice equipment. It is not a guarantee of the condition of the ice or equipment between scheduled services.

Your HygieIce Business Portal

Rather than relying solely on paper records, invoices, emails, or someone's memory, the proposed HygieIce Business Owner Portal would provide one convenient location for information about your commercial ice equipment and its HygieIce service history. Through the portal, you or an authorized manager could:

  • Confirm when an ice machine was last cleaned and sanitized

  • Review previous cleaning and sanitation dates

  • Access the machine-specific HygieIce Service Plan

  • See which components were cleaned and sanitized

  • Review before-and-after photographs

  • Review the equipment's HygieIce service history

  • See the next scheduled service date

The purpose is not simply to document that a service occurred. It is to make that documentation organized, accessible, and useful to your business after the service is completed.

The detailed information in your portal would remain available to you and your authorized personnel and would not be available to the general public.

The HygieIce Cleaned & Sanitized Program Stickers

The HygieIce Cleaned & Sanitized Program would use two stickers with different purposes—one to communicate program participation to customers and the other to provide an easy-to-see service record directly on the commercial ice equipment.

Entrance Sticker

Displayed on a front door or window, the program sticker identifies the business as a participant in the HygieIce Cleaned & Sanitized Program. Customers can scan the QR code to learn more about the program and view appropriate public information.

Ice Machine Sticker

Placed directly on the serviced equipment, the machine sticker shows the Date Cleaned & Sanitized and the Next Scheduled Service Date, providing owners, managers, employees, and service personnel with an easy-to-see record of the machine's service status.

Two Levels of Information

The HygieIce Cleaned & Sanitized Program is designed to keep detailed service information private for the business while providing customers with access to appropriate public information through the program QR code.

Important: “Cleaned & Sanitized” refers to the documented service performed on the commercial ice equipment. It is not a health department certification or a guarantee of the condition of the ice or equipment between scheduled services.

Detailed Records for Your Business. Simple Transparency for Your Customers.

The Proposed HygieIce Method brings together manufacturer-specific research, written Service Plans, documented cleaning and sanitation, and an ongoing service history—providing detailed records for your business and appropriate transparency for your customers.
